The Problem
pAs a company whose mission is to elevate its clients to succeed in the digital world, Brillio recognized the importance for a global unified system that could offer employees access to complete tasks and stay connected wherever and whenever./p pTheir vision is to deliver a superior employee experience leveraging digital platforms while ensuring that the business processes are efficient, optimizing operational costs and most importantly, creating a connected community./p pWith over 2,400 employees across three continents 1,750 timesheet submissions per week and 1,280 expense claims per month must be recorded regularly, but a lack of discipline in recording led to not only compliance issues, but affected data leakage impacting billings and productivity./p pSimple tasks like recording and monitoring time, expenses and approvals took 3-4 minutes each, but if automatic recording and digital intervention could reduce the process to 1-3 seconds there was potential to save thousands of hours while improving employee productivity and experience. Brillio had ERP systems like Oracle Fusion and NetSuite for recording and monitoring but each transaction took 3-4 minutes./p pBrillio wanted to keep their teams strong by providing a way to keep in touch to both collaborate and maintain the social interaction, which remotely can be challenging. While platforms like NetSuite have their own places for members to engage, they are cumbersome and lack personality./pThe Solution
pNot all good ideas work. In today’s world, users determine success and just having a mandate from management doesn’t always drive digital shift. For a change to last, there has to be a driving need for the user. /p pBrillio built OnTheGO, a mobile app to track and capture enterprise activities, based on the principle of overcoming these hurdles in every feature with a minimalistic design approach. /p pBrillio leveraged digital platforms to ensure that business processes in the app could be completed efficiently while driving productivity and optimizing operational costs./p pAt the same time, Brillio also wanted to tackle employee development, engagement and community building. Therefore, they needed an app that was more than just another work tool, but provided space where employees can communicate, celebrate milestones, and unite to share experiences in a personable and welcoming setting. /pThe results
pOnTheGO has been adopted by 90% of the employees, with the United States seeing an 86% adoption rate and India a 96% adoption rate. On average 450-500 Brillians use OnTheGO every day. /p pOnTheGo enables employees to easily track and log from anywhere their leave patterns, hours, upcoming holidays and also calls out employee milestones like work anniversaries. One of the most loved and clicked on features is the calendar of upcoming birthdays of team members and information about new joiners to a team./p pTo date, 11 out of 18 platforms systems previously used by Brillio employees internally have been incorporated. In seconds employees can enter data, expenses, timesheets, holidays, view employee milestones, and more./p pThe app has increased productivity and strengthened the connection between employees for Brillio. More recently, with the onset of the COVID-19 pandemic, the app was able to help the company achieve an immediate shift to working from home with zero downtime, all while enabling employees to easily keep up and connect with colleagues, keeping that human element of the work experience alive./p pOnTheGO has garnered a reputable track record and has received a total of five awards from Digital India Awards in 2017, CDO Convergence 2017 Award, IDC DXA 2018 Awards and two Stevie Awards 2018. pDesigning the OnTheGO for high adoption: Digital transformation has not always been a roaring success globally. Many studies put the success rate at less than 10%. Adoption of each feature is the single most indicator for value to be realized. Every feature of OnTheGO had to pull in users, and ultimately increase adoption rates.
